Automated alert dashboard reducing case staleness risk in high-volume legal operations
The Problem
A high-volume probate law firm managing 160+ contested cases struggled to maintain consistent client touchpoints. Quieter clients inadvertently fell through the cracks while urgent matters consumed the team's attention. Management needed real-time visibility into which cases hadn't received routine contact (case reviews or strategy meetings) in 30, 45, or 60+ days—but Monday.com's native interface required manual filtering and administrative hours to monitor.
The Solution
I designed a tiered alert system in Monday.com that automatically flags cases based on days since last meaningful touchpoint:
Needs Attention: 30+ days without case review or strategy meeting
Warning: 45+ days without contact
Urgent: 60+ days without contact
The system included two complementary views:
Management Dashboard: Centralized view of all low-activity cases across the firm, enabling leadership to delegate outreach or intervene as needed.
Board-Level Filtered Views: Attorney-facing views on individual case boards showing only flagged cases from that specific case group (onboarding, filed, discharge, etc.), allowing users to access relevant data without leaving their workflow.
The Impact
Reduced case staleness risk by increasing visibility across the team
Improved client communication by surfacing cases requiring proactive outreach before clients escalated
Informed process redesign: Data revealed that the firm's case review cadence (once every 2 weeks) was unsustainable at current staffing levels. Management adjusted expectations to once every 30 days, reducing required reviews by 50% and alleviating team burnout.
